Exporting Properties

Learn how to export property data from DealMachine as a customizable CSV file.

Written by AJ

Use this article to export property data from DealMachine as a clean, customizable CSV file.

Where to find it: You export from the Property Prospecting Grid. Select your records, then choose Select > Export.

How to export properties

  • Select one or more records in the Grid using the checkboxes. You can also use the header checkbox to select every record on the current page.

  • Once records are selected, the Export button at the top becomes active and updates to show how many records you have selected.

  • Click Export.

  • Choose your export format: Property List, Contact List, Email List, or Phone List.

  • Apply Contact Filters if at least one contact audience is selected.

  • Pick the fields you want to include and reorder them as needed.

  • Review the export summary at the bottom of the window to see how many records are billable.

  • Click Export to finish. Your CSV file downloads automatically.

Available formats

  • Property List – Each row is a property. The contacts tied to that property come back as columns on the same row, including their phone numbers and emails (up to 5 contacts per property).

  • Contact List – Each row is a person (contact). That person's phone numbers and emails come back as columns on the same row (up to three phone numbers and up to three email addresses).

  • Email List – Each row is a unique email address. If a person has several emails, each one is on its own row.

  • Phone List – Each row is a unique phone number. If a person has several numbers, each one is on its own row.

In short: Property List and Contact List keep each person on one row and spread their phone numbers and emails across columns. Phone List and Email List put one phone number (or one email) per row.

Include contact types (optional)

When exporting properties, you can choose a Contact Audience to specify which contacts to include. For Property List exports this is optional. For Contact List, Email List, and Phone List exports you must select one.

  • Property Owners

  • Property Owners and Family

  • Likely Renters

  • Residents

Property List exports include up to 5 contacts per property. Each matching contact counts as a record and costs 1 data credit. If you need complete contact data, use Contact List instead.

Getting all of an owner's phone numbers

If an owner has 2–3 phone numbers and you want all of them, you do not have to pick just one. In both Contact List and Property List exports, a person's phone numbers and emails come back as separate columns, so every number is included.

In the Fields list, these are separate numbered fields that export as the columns Phone_1, Phone_2, Phone_3 and email_address_1, email_address_2, email_address_3. Select the ones you want, and each becomes its own column in the file. To capture everything an owner has, add all three phone fields and all three email fields.

For a clean, one-row-per-owner file, a Contact List export with the Property Owners audience is usually easiest. If you would rather have one phone number per row (for example, to load into a dialer), use a Phone List export; for one email per row, use an Email List export. Either way you get all of the owner's numbers.

If an owner unexpectedly shows only one number, check your contact filters (such as Mobile numbers only or Scrub DNC) — those can remove some of an owner's numbers from the export.

Refine with contact filters

Once you have selected a Contact Audience, you can refine your results with optional Contact Filters:

  • Require phone number – only include contacts that have a phone number.

  • Require email address – only include contacts that have an email address.

  • Mobile numbers only – removes landline numbers.

  • Landline numbers only – removes mobile numbers.

  • Scrub DNC numbers – removes DNC (Do-Not-Call) numbers. Contacts without a non-DNC number are excluded, and DNC numbers are removed from the export.

Customize your file

Before finishing your export, you can choose exactly which columns appear in your file. In the export window, scroll down and click Fields.

  • Search for fields or browse the list.

  • Check or uncheck the fields you want included.

  • Drag and drop to rearrange the order of columns.

  • Your CSV follows the exact column order you set.

For Property List, only Property fields can be selected. For Contact List, Email List, or Phone List, you can choose from both Property and Contact fields. (Mortgage and financial details are Property fields — see below.)

Exporting mortgage and financial fields

Yes — mortgage and financial information can be exported. It is part of the property data, so it is available in the Fields selector for both property and contact exports; it is not missing from the new export.

In the export window, open Fields and search mortgage (or loan). You'll see a range of options — such as the lender or servicer, loan balance, interest rate, loan type, loan position, and estimated payment — and you can check the ones you want to include.

Cost: because these are property attributes, adding them to a Property List export costs nothing extra. If you are exporting a Contact List (by contacts), including mortgage or property fields costs 1 additional data credit.

Can I export only the addresses without using credits?

Not at the moment. Exporting properties uses 1 data credit per property even if you select only the address column, so there is no credit-free property export.

If you want a list of addresses that have no contact data (for example, to skip trace them on another platform), you can get it for free without re-exporting:

  • Free option: you already have the two files you need — the original list you imported, and the export you downloaded for the properties that returned contact data. Compare them in Excel or Google Sheets (for example, a lookup on the property address). The addresses that appear in your import but not in your contact export are the ones with no contact data. This uses no credits.

  • In-app option: export the list with only the address columns selected. This still charges 1 data credit per property.

Data credits

Exporting costs 1 data credit per record, where a property and a contact each count as a record. Records you have already exported during the same billing period are free to re-export and will not count again. To check your balance, click your name at the bottom-left corner of the screen in DealMachine.

Downloading your export

Completed exports land in your Inbox. Open the Inbox, find your export, and click Download. Export files are kept in the Inbox for 7 days before they expire.
